Software vendor due diligence for security and ownership
A buyer checklist for security, integrations, data roles, ownership, support, and exit planning before signing a software contract.
Connect forms to CRM, assign enquiry owners and measure response time. Set up marketing sequences according to the contact purpose and sending rules.
Give each form enquiry an owner and a response target. A shared inbox alone may leave the team unsure who is handling it. A CRM connection can make the status visible from receipt through to a sales conversation.
Someone fills out the form. The data lands in your CRM on its own (Pipedrive and HubSpot both do this fine) and opens a new "Deal". Sales receives a notification and the client can receive an acknowledgement saying "Thank you, we have received your inquiry, we will contact you within 24h."
Not everyone is ready to buy immediately. This is where email marketing comes in. For contacts eligible to receive marketing, an illustrative sequence could look like this.
That is how you build trust and stay top of mind until the client is ready to buy.
Handling an enquiry and enrolling the contact in a marketing sequence serve different purposes. Assess the processing basis and electronic marketing rules for the target country before launch. A checkbox or double opt-in is not a universal answer for every situation.
Where you rely on consent, keep its wording and evidence that it was given. Email confirmation helps verify a subscription, but does not replace assessment of the lawful basis. Make sure unsubscribe requests stop subsequent messages. The Czech regulator explains the distinction between consent and the customer exception in its commercial communications guidance. Check local requirements separately for other markets.
Moving form fields into CRM and notifying sales usually needs integration rules. Add AI only for a task that calls for it, such as proposing a category for free text. Our agent versus automation guide explains the distinction. Explore workflow automation if you need to connect the process.
