What to automate first in a small business
Choose a first automation by scoring the work, data, risk, ownership, and reversibility. Then validate one pilot before you expand it.
Connect documents, approvals and accounting. What to measure in a pilot and what MojaFirma demonstrates with synthetic data during active development.
An invoice arrives by email, approval stays in chat and accounting searches the bank for its payment. Another system helps only if it connects these steps into a traceable process.
When a company asks for ERP, we first establish what it needs to manage. Document and finance administration has a different scope from inventory or production. The product category alone cannot decide the fit.
Record where an invoice came from, who checked it and where its data should be posted. The supplier and approval state belong with the document. A payment needs to be matched to the relevant record, with uncertain matches visible to a person.
A common workspace does not have to replace every existing system. If accounting works, another layer may prepare records and pass them through an agreed interface. Check integration availability and data ownership before designing that handoff.
AI can propose field values from a PDF. Explicit rules should check totals, required fields and duplicates. The reviewer needs the original document alongside the proposal being approved.
Timesheets and internal reports raise similar questions. What happens after extraction matters. Reading fields does not decide who approves the document or how an incorrect posting gets corrected.
Choose one document type and a sample with ordinary exceptions. Before the trial, record manual processing time and corrections. In the new process, include reading proposals, matching and every case handed back to a person.
Management needs a visible process state and a responsible person for unfinished work. A rising count of automatically processed documents is of little use if errors reach accounting or approvals simply move to another inbox.
MojaFirma is our product in active development. Its document-processing demonstrations use synthetic data. They illustrate a workflow rather than a measured client saving or proof of correctness on your records.
During a demo, we compare your daily work with the available process. That gives us a basis for scoping a pilot. Different business logic or connections across several internal systems may require custom software delivery.
Bring an anonymized document and explain who handles it today to the first discussion. One concrete case tells us more than a general request for a new ERP system.

A model plan for one recurring task. Measure today’s work, set data permissions and output review, then decide whether the trial should continue.
